Administrative Assistant - Conference and Meetings

The Administrative Assistant – Conference and Meetings is responsible for providing administrative support to the Conference and Meetings Manager. This is accomplished by implementing a detailed approach to project management, drafting and editing documents and written communications, performing clerical functions, assisting with the logistics and training coordination at conferences, and managing multiple project deadlines. This position reports to the Conference and Meetings Manager.

Essential duties include, but are not limited to:

Email and Correspondence

• Drafts emails and correspondence on behalf of the Conference and Meetings department
• Edits and sends email notices for Association conferences and training events

Conference and Meetings

• Assists the Conference and Meetings Manager in the planning and execution of the Association’s Annual Training Conference, Spring and Fall Meetings, Sheriffs’ Leadership Institute, Legislative Day, the Governor’s Highway Safety Program, and regional training events
• Primary contact for all Association committee meetings, internal and external, and is on site contact for all committee meetings regarding logistics
• Prepares materials, compiles resource materials, notebooks, and information packets for committee meetings
• ACT administrator
• Primary contact for event training manual production, including coordination with Business Development regarding Corporate Partners and Sponsors for Spring Meeting, Annual Training Conference, and Fall Meeting
• Responsible for organization and replenishment of supplies for the portable office
• Compiles, edits, and formats training course materials from all trainers for Association conferences and training events
• Liaison to Business Development regarding the coordination of Corporate Partner and sponsor activities at Spring Meeting, Annual Training Conference, and Fall Meeting
• Coordinates with accounting regarding reconciling receipts following all events, including trainer related payments and reimbursements
• Mails continuing education credit certifications to all training class attendees, once received from the North Carolina Justice Academy
• Responsible for the oversight of the Association’s trailer and trailer keys
• Recommends changes and enhancements to improve event quality and customer satisfaction
• Travels to and works onsite at association meetings and conferences
• Provides back-up support to the Administrative Assistant – Government Relations and Legal to type, send, and post the Association’s Weekly Legislative Report
• Assists co-workers as necessary and performs additional duties as assigned
• Notary Public Certification

Education Requirements: 4-year college degree or equivalent experience

Required Skills:
• Minimum 3-5 years related work experience
• Demonstrated collaborative skills and ability to work well within a team
• Proficiency with Microsoft Office and other applications including Turning Point
• Demonstrated ability to work independently and solve problems
• Strong organization and interpersonal skills
• Outstanding oral and written communication skills
• Ability to work in a fast-paced environment
• Knowledge of modern office practices and procedures
• Ability to adhere to our Association’s professional standards and core values
• Ability to perform other related duties as assigned

Supplemental Information:

The work is typically performed in an office while sitting, standing, or stooping. The employee occasionally lifts light and heavy objects, weighing up to 20 pounds.
