Description:

The Special Assistant provides executive support in a one-on-one working relationship with the Executive Director.  Serves as the primary point of contact on all matters pertaining to the office of the Executive Director and as a liaison to the Board of Directors and management personnel.

ESSENTIAL DUTIES AND RESPONSIBILITIES
 

  • Communicates directly, and on behalf of the Executive Director, with Board members, Association membership, federal, state and local officials, and others on matters related to the Executive Director’s and the Association’s programmatic initiatives.
  • Serves in a role commensurate with clerk to a board for the NCACC Board of Directors.  This role will include, but is not limited to, assisting with presidential committee appointments, maintaining a Board member database, communications and schedules and drafting minutes.
  • Researches, prioritizes, and follows up on incoming and outgoing issues, correspondence, and concerns addressed to the Executive Director, including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or response.
  • Provides a bridge for smooth communication between the Executive Director's office and internal departments, demonstrating leadership to maintain credibility, trust and support with senior management and all NCACC staff.
  • Facilitates building relationships crucial to the success of the organization, and manages a variety of special projects for the Executive Director, some of which may have organizational impact.
  • Identifies opportunities for internal and external collaboration and coordination of issues.
  • Successfully completes critical aspects of deliverables with a hands-on approach that facilitates the Executive Director's ability to effectively lead the Association.
  • May serve as liaison between the NCACC and external organizations as needed.
  • Completes a broad variety of administrative tasks for the Executive Director.
  • Perform other duties as assigned.

Education/Experience:

Bachelor’s degree with three to five years of experience supporting C-Level Executives, or equivalent combination of education and experience.  Experience in dealing with a Board of Directors preferred.

Knowledge, Skills, Abilities: 
Thorough knowledge of the Association and functions of the Board of Directors and of general administrative policies and practices; strong organizational skills; very strong interpersonal skills and the ability to establish and maintain effective working relationships with officials, associates and the general public; demonstrated ability to achieve high performance goals and meet deadlines in a fast paced environment; strong level of written and verbal communication skills; comprehensive knowledge of standard office practices, procedures, equipment and office support techniques; ability to read, understand and interpret complex materials with complicated information that may contain excerpts from regulatory and/or legal documents; ability to keep office records and to prepare accurate reports from file sources; ability to perform and organize work independently; ability to prepare effective correspondence on routine matters and to perform office management details without referral to supervisor; ability to solve problems within the scope of responsibility; ability to operate standard office and computer equipment; proficiency in Microsoft Word, Excel, PowerPoint and Outlook and membership database software.
Occasional travel required.
