Purpose of the Job:Primary responsibilities include assisting the Executive Director in the administration of IOLTA and state funding and providing other support on special projects.

Job Responsibilities:

Funds Administration
•Maintain grant application contact list to prospective IOLTA grantees;
•Receive and organize IOLTA grant applications;
•Maintain, update and monitor online IOLTA grant database of electronically submitted files for grantees including tracking grant applications, payments, and reports;
•Prepare grantee letters and agreements;
•Assist IOLTA Executive Director with grant monitoring;
•Prepare and maintain files for agencies receiving state funds;
•Track state funds’ agency reports and reporting deadlines. 

•Make arrangements for meetings of the IOLTA board and their committees to include the logistics planning and the organization and distribution of materials;
•Update materials in the IOLTA Board Handbook;
•Attend meetings of the IOLTA board and its committees; prepare meeting minutes and maintain minutes’ history. 

•Make check deposits for NC IOLTA;
•Notify IOLTA grantees and state funding recipients via e-mail of electronic payments.

General Office Duties
•Coordinate with Communications Director to update NC IOLTA website as required;
•Share receptionist duties with the Accounts Data Assistant;
•Assist with special projects as required;
•Provide administrative support for Executive Director and Accounts Manager as required.
•Perform other assigned duties as required for the administration of the IOLTA Program.

Accountability and Authority:
The IOLTA Program Assistant reports to and is directly supervised by the Executive Director of the IOLTA program.

Desired education, experience and skills:
•College degree preferred
•Excellent oral and written communication skills
•Computer literate
•Must be able to take initiative and handle responsibility
•Satisfactory background and credit check

Working Conditions:
•Position is non-exempt in accordance with the Fair Labor Standards Act.
•Hours: 9:00 a.m. to 5:00 p.m. Monday – Friday, one hour lunch break
•Overtime: occasional, paid or compensatory

•Infrequent night or weekend work may be required
•Travel:  Seldom
