SUMMARY  

In collaboration with the Director of Membership, Chapters, and Programs, the Manager of Membership and Chapter Services oversees the day-to-day operations of the membership and chapter services unit and provides guidance to three staff members under his/her supervision. The Manager of Membership and Chapter Services must be detail oriented and capable of meeting frequent deadlines. Excellent interpersonal skills and an aptitude for working with and relating to a wide variety of personalities are critical. A professional demeanor is expected at all times, with a strong work ethic and high energy and enthusiasm.

Sigma Xi, The Scientific Research Honor Society is an international, multidisciplinary, membership-based organization with more than 100,000 elected members and 500 chapters. Membership in Sigma Xi is by invitation or nomination and is based on research achievements or potential. The Society’s mission is to enhance the health of the research enterprise, foster integrity in science and engineering, and promote the public's understanding of science for the purpose of improving the human condition.

ESSENTIAL DUTIES AND RESPONSIBILITIES

1. Membership Retention and Recruitment
 Work with the Director of Membership, Chapters, and Programs on developing and implementing plans for retention of existing members and growth of new members
 Provide oversight for the chapter and general membership nomination processes
 Coordinate, manage, track, and evaluate all membership and renewal activities, including member mailings
 In collaboration with the Communications and Marketing units, develop membership promotional materials, including brochures, member kits, and membership cards
 Oversee exhibit details for trade shows including development of materials, shipping, and receiving of exhibits, ensuring exhibits are complete and in good working condition
 In collaboration with the Communications unit, create content for members, affiliates, and explorers communications 
 Maintain content on the Membership, Chapters, Affiliate Circle, and Sigma Xi Explorers pages on the website
 Manage and oversee recognition of outstanding members
 Handle inquiries, as needed, from members, prospective members, and chapter officers

2. Chapter Services
 Work with chapter officers on electing new members and retaining existing members
 Develop strategies that involve chapter reactivation or start up
 Administer a timeline to make certain that chapters meet and retain Good Standing status in accordance with the Society’s bylaws
 Administer correspondence relating to establishing, merging, changing names of, revitalizing and revoking chapters and updates staff accordingly
 In collaboration with the Manager of Programs, develop initiatives to revitalize chapters 
 Coordinate chapters’ participation in the Society’s Annual Meeting and Assembly of Delegates 
 Manage and oversee recognition of outstanding chapters and chapter programs, including the Chapter of Excellence and Program of Excellence awards

3. Database Management
 Generate reports on membership recruitment and retention
 Oversee data entry of membership records
 Run monthly reports for data accuracy and data clean up
 Run membership data extracts as needed

4. Other Responsibilities
 Participate in staff meetings
 Limited travel as needed
 Other duties as required

QUALIFICATIONS REQUIREMENTS
 Bachelor’s degree in a related field
 1-3 years of experience working with membership-based associates
 Demonstrated success in project management and prioritizing work tasks
 Ability to work in a dynamic, fast –paced environment
 Ability to collaborate and work as a team member
 Strong, flexible thinker with excellent written and verbal communication skills
 Ability to make discretionary judgments
 Exceptional customer service skills
 Expertise with word processing, database management and spreadsheets; proficiency with Access, Excel and Outlook
 Demonstrated proficiency in writing content for member communications

EXPERIENCE/EDUCATION PREFERRED
 Comfort with using Social Media platforms like LinkedIn, Twitter, Facebook, and YouTube is preferred, but not required
