The American Sexual Health Association, a 100+ year old nonprofit is searching for an administrative assistant.  We are looking for an experienced individual to join our team.  Please review the job description below.  The position is part time for 20-25 hours per week with the possibility of more hours. 


This position provides administrative and clerical support for senior management. Administrative Assistant duties and responsibilities include providing administrative support to ensure efficient operation of the office.  In addition to drafting correspondence, donor management and coordination of meetings and conferences, performs duties such as coordinating direct mailings, customer service and working on special projects.

Essential Job Functions:
• Provide administrative support for Senior Management
• Coordinate and support key development activities including, but not limited to, special events, direct mail, grant proposals, and gift processing, gift acknowledgment and donor recognition activities
• Assist in the application process for funding opportunities as needed
• Serve as the administrative liaison to the Board of Directors
• Schedule and take minutes for leadership meetings
• Logistical and travel planning as needed for meetings and conferences
• Coordinate travel for President and Senior staff as necessitated
• Ensure accurate and complete donor and prospect database (Giftworks) to include individuals, corporations, organization, and foundations
• Monitor compliance, in conjunction with Biz Filings, all state regulation regarding charitable registration and ensure all necessary paperwork is filed in a timely fashion
• Manage the application process for participation in state and federal employee charitable campaigns and oversee timely correspondence with campaign donors
• Assist with marketing and communications functions
• Customer service: responding to emails and voicemails for ASHA programs including member services such as member renewals and updating contact information in membership database for example
• Prepare reports and perform other duties as assigned
• Ability to maintain strict confidentiality of work-related information.

• Proven excellence in writing skills to compose letters, reports, and other documents for internal staff and external customers.

• Proven excellence in communication skills (phone, meeting, organizational, and interpersonal).

• Excellent knowledge of Microsoft Office software with emphasis on Word, Excel, and Outlook.

• Excellent organization and time management skills and ability to manage diverse responsibilities concurrently.

• Ability to work independently yet able to recognize when to seek assistance or additional information.

• Ability to work in an environment with interruptions, varying degrees of stress, and change.

• Ability to maintain non-judgmental, open attitude and actively contribute to a positive and diverse workplace.

• A four- year degree or two years of college or technical training related to business, clerical or administrative coursework, and two years of work experience in office/business environment in an administrative or support level position or a combination of education and experience.
